Fast Accounting USA Privacy Policy
Effective Date: October 26th, 2026 | Last Updated: October 26th, 2026
Fast Accounting USA (“Fast Accounting) is committed to protecting your privacy and information that may be used to identify you (i.e., your Personal Information). This Privacy Policy sets forth the data collection and usage policies and practices that apply to Personal Information that Fast Accounting may collect from or in regard to users of the Fast Accounting website at fastaccounting.ai (collectively, “our Site”), or in regard to employees or agents of our business clients or other business partners (collectively, “Users”). Fast Accounting is a for-profit, business-to-business AI accounting services company that serves business clients only. Fast Accounting is a subsidiary of Fast Accounting Co., Ltd., a Japanese corporation that provides the underlying software platform and Japan-based hosting infrastructure for Fast Accounting’s products and services. References to “you” and “your” in this Privacy Policy apply to Users.
This Privacy Policy describes how Fast Accounting handles Personal Information in connection with our Site and our own marketing and business operations. It does not govern the books, records, financial data, or other materials that our business clients provide to us so that we can deliver our accounting services. We process any Personal Information contained in those materials solely on our clients’ behalf and at their direction, as a service provider (or “processor”) under our client agreements and applicable data processing terms. The one exception is that Fast Accounting Co., Ltd. may use client-submitted invoices and receipts to train and improve our machine-learning models where our client agreements permit, as described in “Use of Customer Data for AI Model Training” below. Our clients’ own privacy notices govern that information.
Fast Accounting offers its business clients a suite of products and services, including Steward (an AI-agent platform and orchestration layer), Robota (which may operate as a tool or function within Steward), and Remota (a separate, independent product and service). The underlying software platform for these services is provided by Fast Accounting Co., Ltd. Each product or service may be subject to its own terms of use. This Privacy Policy applies to Personal Information collected through our Site regardless of which Fast Accounting product or service you may use or inquire about.
By using our Site or otherwise providing us with Personal Information, you acknowledge the terms of this Privacy Policy.
Sources of Personal Information
In addition to Personal Information collected directly from you through our Site, we may receive Personal Information from service providers (e.g., CRM platforms and email marketing platforms) and through in-person or virtual events. Event contacts and website inquiries may be consolidated into the same CRM contact record. Accordingly, Personal Information collected at events may be combined with Personal Information submitted through our Site. This consolidation concerns contact information and inquiry records; we do not link Google Analytics browsing activity to identifiable CRM contacts.
Uses of Personal Information
Fast Accounting uses the information gathered on our Site for the purpose of operating and improving the Site, fostering a positive User experience, and delivering Fast Accounting’s AI-powered accounting services to our business clients. In addition, Personal Information may be used for detecting security incidents, protecting against malicious, deceptive, fraudulent, or illegal activity, and prosecuting those responsible for that activity; debugging to identify and repair errors that impair existing intended functionality; undertaking internal research for technological development and demonstration; facilitating targeted advertising through LinkedIn audience matching; and responding to inquiries submitted through our Contact Us webforms, “send me more info” forms, newsletter signup, and event registration.
Sharing of Personal Information for Cross-Context Behavioral Advertising
We upload contact lists (such as hashed email addresses) to LinkedIn for custom audience and lookalike audience advertising targeting. Under applicable laws (including the CCPA), such activities may constitute “sharing” of Personal Information for cross-context behavioral advertising. You may opt out of such sharing by [clicking the “Do Not Sell or Share My Personal Information” link on the home page of our Site or by] emailing privacy@fastaccounting.ai with the subject line “Do Not Sell or Share.” After we receive your request, we will stop including your information in contact lists we upload to LinkedIn.
Promotional Communications: You may opt out of promotional communications at any time by following the unsubscribe instructions included in such emails or by emailing privacy@fastaccounting.ai.
Disclosure Of Personal Information for A Business Purpose
If you use our Site, we may disclose the categories of Personal Information described in “Notice of Collection and Use of Personal Information” below to service providers that support our provision of services to our Users. These service providers currently include: InMotion Hosting (cloud hosting and infrastructure); Salesforce Sales Hub (customer relationship management); Google Analytics (web analytics); and LinkedIn (advertising audience matching). We may also share Identifiers with LinkedIn for audience-based advertising as described above. We may engage additional or replacement service providers from time to time. We also disclose Identifiers to LinkedIn for audience-based advertising as described above. LinkedIn receives this information as a third party, not as our service provider. The categories of third parties to whom we disclose Personal Information also include our affiliate, Fast Accounting Co., Ltd., which supports our operations, including the processing of privacy rights requests, and professional advisors such as auditors, accountants, and legal counsel.
We do not sell Personal Information for monetary consideration, and we have not done so in the preceding 12 months. We may also disclose Personal Information where we believe in good faith that disclosure is necessary to comply with applicable law, regulation, legal process, or an enforceable governmental request; to enforce our agreements; or to protect the rights, property, or safety of Fast Accounting, our Users, or others. If Fast Accounting is involved in a merger, acquisition, financing, reorganization, or sale of all or part of its assets, Personal Information may be transferred as part of that transaction, subject to the commitments in this Privacy Policy.
Cookies and Tracking Technologies
Fast Accounting’s website uses cookies and similar tracking technologies. Google Analytics is the only analytics service currently used on the Site. Google Analytics may collect information from visitors to our Site regardless of their location. We have not enabled Google Signals, User-ID, ads personalization, or a Google Ads link in Google Analytics. Fast Accounting is implementing a cookie consent management platform, with a target completion date of October 1, 2026. Until this platform is operational, you can manage cookies through your browser settings. Fast Accounting does not use session replay or heatmap tools and does not embed third-party content that tracks visitors.
How long do cookies last? A cookie can either be a “session” cookie or a “persistent” cookie. Session cookies exist only for so long as you are visiting the applicable Site and are typically deleted when you exit your web browser. Persistent cookies exist for a set period of time, for example, up to several months or years. Each time you visit a website that has implemented a persistent cookie, the persistent cookie is renewed, and that cookie will remain active until its predetermined expiration date. You can manually delete persistent cookies through your browser settings.
First-party versus third-party Cookies. Cookies may either be “first-party” or “third-party” cookies. A first-party cookie allows your web browser to talk to the actual website that you are visiting (i.e. this website). A third-party cookie allows your web browser to talk to a third-party website, such as the source of an ad that appears on the website you are visiting or a third-party analytics provider. We do not have control over how information gathered by third-party cookies is used by third parties.
Most browsers automatically accept cookies. You can disable this function by changing your browser settings, but disabling cookies may impact your use and enjoyment of the Site. If you block cookies that are essential to the functioning of the Site, some features or functions may not work properly.
Do Not Track: We do not currently employ a process for automatically responding to “Do Not Track” (DNT) signals sent by web browsers, mobile devices, or other mechanisms. Per industry standards, third parties may be able to collect information, including personal information, about your online activities over time and across different websites or online services when you use the Services.
Global Privacy Control: Fast Accounting is implementing recognition of and response to the Global Privacy Control (“GPC”) signal, with a target completion date of October 1, 2026. Until this implementation is complete, you may manage cookie preferences through your browser settings and use any opt-out controls described in this Policy.
Advertising and Retargeting: We use LinkedIn for targeted advertising and retargeting. We do not use the LinkedIn Insight Tag or pixel-based retargeting. Instead, we upload contact lists (such as hashed email addresses) to LinkedIn for custom audience or lookalike audience targeting. Under applicable law, this practice may constitute “sharing” of Personal Information for cross-context behavioral advertising.
No Information from Children
Our Site and services are designed for adults, not children. As such, we do not intend to collect Personal Information from persons under age 18, and our Site and services are not designed for such information. If you are under the age of 18, you are not permitted to use our Site.

Use of Automated Decision Making
The following information is provided for transparency. Processing of client data in connection with our services is governed by our client agreements and data processing terms, as described above. In connection with our accounting services, Fast Accounting uses Validify, a third-party bank-verification service, to help identify potentially fraudulent payment requests. When a customer submits proposed bank account information, Validify checks its database via API and returns a confidence score (0–100). The customer’s authorized end user reviews the confidence score and any associated warnings, then makes an independent, human decision about whether to process or reject the payment. This tool assists human decision-making and does not autonomously approve or deny transactions. We may also use automated decision-making to temporarily or permanently deactivate a User’s account if we detect patterns of activity that may be consistent with fraud or safety concerns. You may have the right to request information about how these automated tools work, their likely outcomes, and to opt out of the use of such technology, where required by applicable law.
Use of Customer Data for AI Model Training. In connection with the delivery of its accounting services, Fast Accounting Co., Ltd. may use invoices and receipts submitted by customers to train and improve Fast Accounting’s machine-learning models. This use is governed by the Fast Accounting Service Terms and Conditions. Customers may opt out of having their invoices and receipts used for model training purposes by contacting Fast Accounting in accordance with the applicable service terms. This Privacy Policy does not govern the processing of client-provided financial data for service delivery or model training, which is addressed in Fast Accounting’s client agreements and data processing terms.

Production data is backed up daily, with up to seven (7) generations of backups retained. Deleted data may temporarily remain in backups created before the deletion until those backups are rotated out through the normal backup cycle. Personal Information collected through our Site (such as contact information, inquiry records, and analytics data) is retained for as long as reasonably necessary for the purposes described in this Policy, and is securely deleted or de-identified when no longer needed.
